Position: Property Administrator Location: Baltimore, MD Hours: Mon-Fri, 7am -3pm Salary: $TBD JOB DUTIES: -- Handling incoming and outgoing communications via telephone, email, and other channels with residents, owners, realtors, vendors, and the corporate office in a prompt and professional manner. -- Maintaining and updating all profiles and required forms for the Board of Directors, owners, and residents across all databases, conducting periodic reviews?at least annually?to ensure accuracy and completeness of resident profiles and related documentation. -- Promoting and upholding a high standard of quality and professionalism in all services provided to residents and clients. -- Maintaining inventory of office supplies, amenities, and staff materials; purchasing supplies as needed to ensure smooth operations. -- Performing general administrative duties such as filing, typing, faxing, mailing, preparing notices, and handling other correspondence as required. -- Managing paperwork for condo questionnaires and distributing new resident welcome packages. -- Processing and monitoring vendor payments to ensure timely and accurate transactions. -- Ensuring the delivery of high-quality, responsive service to all residents. Stay informed about all community amenities, scheduled events, and property offerings; provide accurate directions and information. ? Follow all established Front Desk procedures, including completing audits, incident reports and responding to emergencies. ? Uphold Premier Communities' standards for excellence in resident and guest services. ? Perform administrative duties related to Front Desk operations. ? Ensure concerns or issues raised by residents or guests are addressed and resolved promptly and professionally. ? Serve as a liaison between residents/guests and other departments (e.g., maintenance, housekeeping) to ensure seamless service. ? Provide guidance and support to the concierge team and help foster a positive and productive work environment. ? Communicate any dissatisfaction or complaints from residents or guests to management. SKILLS & QUALIFICATIONS: -- Strong customer service orientation with excellent interpersonal and communication skills -- Prior experience in a concierge, front desk, or guest services role?preferably in a luxury, high- rise, or upscale residential setting -- Familiarity with property management software, particularly BuildingLink, and standard office applications (Microsoft Office, email platforms, etc.) -- Ability to handle multiple responsibilities in a fast-paced environment -- Professional demeanor with strong organizational and time management skills -- Ability to maintain confidentiality and demonstrate sound judgment in high-pressure situations |
